Refund & Cancellation Policy

Due to small group sizes, staffing commitments, and program preparation, the following cancellation policy applies:

  • A non-refundable deposit of $150 is required to secure a participant’s placement.

  • Cancellations made more than three (3) weeks prior to the program start date may receive a partial refund, minus the $150 deposit.

  • Cancellations made within two (2) weeks of the program start date are non-refundable.

  • Missed camp days or absences are not eligible for refund or credit.
     

Program spaces are limited and reserved specifically for each participant; therefore cancellations impact staffing and other families waiting for placement.

Medical Cancellation Policy

We understand that illness, injury, and unexpected medical situations can arise.

If a participant is unable to attend due to a medical condition, families may request a medical exemption from the standard cancellation policy.

To qualify:

  • Written documentation from a licensed medical professional must be provided.

  • Documentation must confirm the child is unable to safely participate during the registered program dates.

  • Families must notify us as soon as reasonably possible.

Approved medical cancellations may receive:

  • A refund minus the $150 administrative deposit, or

  • A credit toward a future program date (subject to availability), if preferred.
     

Please note that minor illnesses such as common colds that resolve prior to the program start date may not qualify unless medical participation restrictions are provided.
 

Our goal is to balance compassion for families with the operational and staffing commitments required to run a small, regulation-based program.

​Registration, Payment & Cancellation Policy Teen Night:

TEEN NIGHTS ARE intentionally kept to a maximum of 8 youth so we can maintain a small, consistent and supported group environment. The 8-session Pass is is paid in full at the time of registration.

Your youth’s space is not confirmed until registration and payment have been received. Payment reserves your youth’s place for the entire 8-session block, rather than individual weekly sessions.

LAST MINUTE CANCELLATION
Spaces are limited and your youth’s spot is held for the full block: last minute Missed sessions, illness, vacations, scheduling conflicts or choosing not to attend a scheduled session are not eligible for individual refunds, credits or transfers. -  If Nero is given the ability to fill your space with another youth well in advance, credits may be possible. * PLEASE TELL GROUP FACILITATORS OF ANY MISSED DAYS IN ADVANCE FOR POTENTIAL CREDITS * 

WITHDRAWAL FROM GROUP 
Families who withdraw after the block has started are not entitled to a refund for the remaining sessions, as that space was reserved for their youth.

If Nero cancels a session, families will receive a make-up session, credit or refund for the affected session.

Exceptional circumstances may be reviewed individually at Nero’s discretion.

Registration does not automatically carry over into the next block. Families will be given an opportunity to register and pay for the next block before their space is released.
Unpaid spaces cannot be held and may be offered to another family or someone on the waitlist.

Drop-in registration (when available) does not reserve an ongoing weekly space. By registering and submitting payment, the parent/guardian acknowledges and agrees to the TEEN NIGHT registration, payment and cancellation policy
